Real Estate Executive Assistant

Seeking a highly organized, detail oriented, and driven Real Estate Assistant / Licensed Agent to provide high-level support to a top performing broker. This is a full-time, in office position that blends administrative leadership with active real estate support. The role requires impeccable organizational and communication skills, the ability to operate independently, and a strong understanding of the real estate industry.

The candidate will play a critical role in streamlining daily operations, managing administrative tasks, and ensuring the smooth execution of transactions while also assisting with agent-related responsibilities when needed. Key Responsibilities

Operations & Data Management

  • Manage all listing, client, and transaction data across MLS and internal systems with precision
  • Maintain and audit databases to ensure accuracy, completeness, and compliance
  • Organize digital files, contracts, and documentation with exceptional attention to detail
  • Oversee transaction timelines, key milestones, and critical deadlines
  • Coordinate complex calendars, including showings, meetings, inspections, and appointments
  • Schedule and manage photographers, inspectors, and other service providers and vendors
  • Align logistics across multiple parties to ensure smooth execution
  • Proactively identify and resolve scheduling conflicts
  • Support contract-to-close processes, ensuring all documentation is complete and deadlines are met
  • Prepare and manage listing inputs, updates, and revisions with meticulous accuracy
  • Assist in the preparation of marketing and listing materials from an operational perspective
  • Ensure all compliance standards are met throughout each transaction
  • Serve as the central hub for communication, timelines, and project coordination
  • Streamline workflows and implement process improvements to enhance efficiency
  • Support and optimize internal systems to elevate overall team productivity

Client Interaction

Overseeing creation and delivery of marketing and showing materials; attending showings, inspections, appraisals, and open houses.

Team Liaison

Working closely with other members of the team to ensure alignment and coordination on all projects.

Qualifications

  • Minimum of 5+ years of active licensed real estate experience required
  • Active Colorado real estate license required
  • Douglas County resident preferred
  • Available to work weekends
  • Strong understanding of real estate contracts, MLS systems, and transaction processes
  • Exceptionally detail-oriented with a granular level of precision
  • Skilled at managing multiple priorities in a fast-paced environment
  • Highly organized with a strong affinity for structure and systems
  • Process-driven with a focus on consistency and execution
