Job Description

The Administrative and Membership Assistant is a key employee of Tualatin Riverkeepers , supporting the organization with operational tasks, data entry and management, and member interactions. This position reports to and works with the Executive Director, in a collaborative manner, to ensure donor, volunteer, and member services are provided effectively. Part-time (10-20 hours per week), non-exempt.

Basic Responsibilities:

  • Regular book-keeping tasks, including weekly preparation of bank deposits and bill payments for review and processing by the Executive Director.
  • Monthly payroll data collection and reporting to payroll vendor, using online portal.
  • Assisting with the management of business services, including insurance, employee benefits, IT systems, utilities, banking, postage and mailing, and business licenses or permits.
  • Membership relationship record-keeping and donation management, including data entry and reporting with constituent management software. (We use Little Green Light, but experience with others will likely translate easily.)
  • Production, using constituent management software, of periodic membership renewal reminder mailings, donation acknowledgments, and other member communications, for processing by the Executive Director.
  • In coordination with the Executive Director, board, and other staff, plan and organize quarterly membership events, including the annual gala in the fall and the annual membership meeting in January each year.
  • Support volunteer relationship management, including data entry to track hours and participants and to provide periodic reporting to program staff and the Executive Director.
  • Assist other staff with volunteer training, orientation, and events.

  • Commitment to the Tualatin Riverkeepers mission of river stewardship and community engagement.
  • Enthusiasm for working collaboratively to empower and serve watershed residents from a wide diversity of life experiences and cultures. As the population of our watershed – and thus our membership, volunteers, event participants, and vendors – is diverse, second language fluency would be an asset, even if not a requirement of the position.
  • Excellent organizational skills, consistently accurate data-entry, and attention to detail with clear vision of how the details support the organization’s work.
  • Aptitude and eagerness for learning, and resourcefulness for problem-solving.
  • Comfort with and interest in business systems, hardware and software tools, employment protocols, and professional relationships with service providers – no hesitancy in initiating or responding to business phone calls, email messages, or other such communications.
  • Attitude of seeing mistakes as learning opportunities, giving others the benefit of the doubt, inquisitiveness and curiosity to sort out problems or hurdles, and patience with inevitable challenges.
  • A pre-hiring background check is required, since some of our participant groups include minors.
  • Confidentiality and care with respect to membership, donations, finances, personnel matters, and other business information will be required.
